Introduction:
Memos are important in communicating between individuals of a company. The purpose of this memo is to communicate the changes I have made in a Position Description to my current boss. Because making time for face to face meetings with my employer is difficult for both of us, this memo will be delivered via e-mail. Accompanied with a copy of the actual position description, this memo will be able to not only tell but show my boss the changes I have made. In addition to communicating changes I will be able to receive feed back from my employer.

Summary:
As we
discussed on April 9th 2013, I have began to revise the Position
Descriptions you have provided for me. Looking at the existing pages I have
received from you I would like to discuss the exact changes I would like to
make to the position descriptions. Some of the changes I have decided to
include are the format of the document, a header and footer, and some revisions
of the content.
Discussion:
The
most apparent change I have made to the position descriptions is the format of
the document itself. The current format,
although condense, bombards the reader with a large amount of information. The
new format takes the first four sections (title, scope, qualifications, and
requirements) out of the two column format and emphasizes them at the top of
the page. These titles are also lost in the current format. To make these
headings stand out I changed the size and color. In doing this these heading
will be emphasized and indicate a transition between topics. The next section
of the document, Performance Responsibilities, continues in the two column
format to save space. Each section is
numbered and is follow by several bullets labeled a, b, c, etc. The last section including the job review and
a new section, discussed later in this memo, returns to the single column
format. These sections are of importance because this is where a new applicant
will be signing therefore they need to be emphasized. As you requested I have added a header to the document. It contains the address, the fax number, the phone number, and your email. I have also mimicked the logo of Caring Hands Home Care by inserting a plus sign and filling it with a red color. I have also carried this red color into the entire document by using a burgundy color scheme.
In addition to these cosmetic changes I have made changes to the content. In each section I made sure that all the actions were in agreement with each other. For example, in the first section each statement begins with a verb. Because the second section is very long I have decided to separate it into two sections. I have also decided to add in a space in which you can specify any added responsibilities that exceed the current description. This will be located under the current signature line and will have its own signature line. I have also replaced the phrase “home health agency” with Caring Hand Home care thought out the document.
Recommendation:
I have
designed this document to be read and understood quickly as well as show case
the attitudes of the company. Please review the changes I have made. I am
looking forward to your input!
